The Problem:
The client was experiencing some pain points around growth and new locations opening. They managed each location on a site-by-site basis, contracting with a local provider at each location.
Each location followed a different scope of work and a separate pricing structure. This led to inconsistent service across the portfolio and caused difficulties with budget forecasting. Additionally, local vendors each carried their own insurance coverage, many insufficient.
The client did not have the expertise or bandwidth necessary to manage the growing portfolio of locations.
Our Solution:
After our initial discovery meeting, Strategic Grounds Management (SGM) was able to identify the customer’s needs and propose a standard Scope of Work for both landscape maintenance and snow and ice management services.
We put each location on a standard landscape maintenance program which we were then able to tailor and provide additional services on a per-location basis using pre-approved labor and material rates.
We also recommended a standardized pricing structure for all services. This would allow the customer to budget appropriately and help the customer streamline the AP/AR process.
By working with a single company across all locations, the customer would receive consistent insurance coverage for each site above industry standards.
The Challenges:
The biggest challenge SGM faced was identifying precisely what services were performed at each site.
Because each site was operating under a different scope of work by another vendor, providing a cohesive maintenance plan that would satisfy the needs of every location would require some work.
Business locations were also spread out wide geographically. Different sites would require additional services based on the season, which meant the customer would need to open up new work orders in the spring and fall.
Our Approach:
We held an initial discovery meeting where we discussed all the pain points that the customer was having and proposed our standardized scope of work that fit their needs.
We then utilized our vendor pool to bring in experienced crews familiar with the locations and our scope of services. We could streamline the AP/AR process by implementing an installment program.
Finally, we set up a communication cadence with the customer to work through any initial hiccups as we implemented our program.
The Results:
The client received a consistent, scalable approach to exterior maintenance services and continues to use SGM to manage the landscape maintenance and snow and ice management for the entire portfolio of sites. The results are predictable, and they can save time on AP/AR.
